Tasks

Live

One task list for the whole organisation — due dates in your own timezone, matter and contract links, snooze, reminders, and tasks the system files for you.

What you get
  • One list across the organisation, read by the desk, the phone, the matter page and Vio
  • Due date all-day or timed, assignee, priority, category, and links to a matter, contract or obligation
  • "Today" resolved in the user's own timezone — the same rule for the list, the counters and the reminders
  • Statuses: open, in progress, done, cancelled. Snoozed is not a status — it hides the task without moving the date

Overview

What it is.

A task is what a person decided to do by a date. There is one task list across the organisation, and it is the same list everywhere: the Todo screen, the matter page, the phone's home screen and Vio all read it. Each task carries a title, an assignee, a priority (high, medium, low), a category, a due date that is either all-day or timed, and links to the matter, contract or obligation it belongs to. Statuses are open, in progress, done and cancelled. Snooze hides a task until a time you pick; it never moves the due date.

"Today" is the caller's day, not the server's: an all-day task is compared by date in your own timezone, a timed task by the instant, and the same rule decides the dashboard counters, the phone's home screen and the reminders. Each morning at 08:00 in your zone you get one digest of the tasks due that day, and an overdue task nudges you once. Some tasks the system files on its own — a workflow step, an approval step, a contract's non-renewal notice deadline — and it files each one once, however many times the sweep runs.

How it works

Three steps.
End to end.

01
1. Add a task — or say it

Type it, or tell Vio "remind me to review the ABC agreement tomorrow morning". Vio returns a draft with the assignee and matter resolved to real records; you confirm it. A name that matches two people comes back as a choice, and a matter is never guessed.

02
2. Work the list

Views for my tasks, the team, a matter, a contract or a category; filters for overdue, today and upcoming. Complete, reopen, reassign, snooze until later today, tomorrow or next week, add a note to the thread.

03
3. Be reminded

A digest at 08:00 in your timezone and an overdue nudge, on the notification channels you have switched on. Change the due date and the reminders re-arm.

Capabilities

What you get.

  • Daily 08:00 digest and an overdue nudge, sent once per task and due date
  • System-filed tasks for a workflow step, an approval step or a contract's notice deadline — each filed once
  • Vio turns a sentence into a task draft you confirm; the assignee and matter are resolved server-side and a matter is never guessed
  • An append-only note thread under each task
  • Every change is an audit row scoped to the task's matter, which is what puts it on the matter timeline
  • The matter page shows the same list filtered by matter — there is no second, matter-side list
FAQ

Quick answers.

Is a task the same as an obligation?

No. An obligation is what a contract binds the organisation to — it is extracted from the document and lives in the obligation register with its own reminders and evidence. A task is what a person decided to do. A task can point at an obligation, and the notice-deadline task the system files points at its contract, but completing the task does not discharge the obligation and the register is not rebuilt from tasks.

Does Vio create tasks on its own?

No. Vio returns a draft — title, date, assignee and matter where it could resolve them, candidates where it could not — and nothing is written until you confirm. The confirmed task records that it came from Vio, with the model and prompt version that produced the draft.

Can I share a task list with a client, or sync it to a calendar?

No. Tasks are internal to the organisation; there is no external share and no calendar sync.
